How to Send Qualified Leads from CRM to Meta Ads
A simple CRM feedback setup: which stages to send, how to avoid duplicate leads and why qualified lead cost matters more than cheap forms.

# How to Send Qualified Leads from CRM to Meta Ads
A cheap lead is not always a good lead. The phone number may be wrong, the person may never answer, or the request may not fit the business. Meta usually sees only the form submission and keeps looking for similar people.
CRM feedback helps Meta see which leads were actually useful to sales.
Define a qualified lead
Start with one clear rule. A lead may be qualified when:
- the contact details are valid;
- sales reached the person;
- the person needs the service;
- the main terms are acceptable;
- a next step was agreed.
Apply the same rule across the sales team. Mixed decisions create mixed data.
A simple example
Ads generate 100 leads at €10 each. Sales reaches 40 people, and only 20 are a good fit. The real cost per qualified lead is €50, not €10.
Those 20 leads are a better sign of campaign quality.
Keep CRM stages simple
Start with four stages:
| Stage | What happened | | --- | --- | | New lead | A person submitted a form | | Qualified lead | Sales checked the contact and interest | | Sale | The person bought or paid | | Rejected | The lead was unsuitable or spam |
Statuses such as “call tomorrow” may help sales, but they say little about ad quality.
Meta offers Conversions API for CRM to share these outcomes. Available options may differ between accounts, so check the current setup in your own Ads Manager.
Keep one ID for each lead
Save the original lead ID in the CRM. It allows the system to connect a later result with the correct form submission.
For a Meta Instant Form, keep the Meta lead ID. For a website form, keep the permitted data needed to connect the CRM record with the ad. Send only personal data the business is allowed to use.
Do not count one lead twice. If the system retries an update, it should keep the same ID. Our Pixel and Conversions API deduplication guide explains this in more detail.
Test before launch
Run several test leads through the full journey:
- The lead appears in the CRM once.
- The original ID is saved.
- Qualified appears only after the sales check.
- A retry does not create a second event.
- Spam and test records are excluded.
- Meta totals can be compared with the CRM.
The numbers may not match exactly, but a large gap should have a clear explanation.
Measure more than cost per lead
Compare:
- total leads and cost per lead;
- qualified leads and cost per qualified lead;
- qualified-lead rate;
- sales and cost per sale.
Cost per lead may rise while lead quality improves. That campaign can still be stronger. Cheap forms can also create extra work for sales without creating real opportunities.
Start with one stage
Choose one ad source, one quality rule and one CRM stage. Check the data for several weeks before adding more steps.
